This Privacy Notice explains how “The Lodge @PenlanVilla” use any personal information we collect about you.
What information we collect about you
When you make a booking with us we collect the names of all the guests who will be staying, home address, email address and telephone number of the person making the booking. We do not collect any debit or credit card information.
How we use the information we hold on you
We will use your email address to send you confirmation of the booking and an email with more details on how to find us and other information you may find useful for your stay.
After your stay we may ask you to fill in a feedback form to to check that everything was OK with your stay.
We will not use your telephone number to contact you unless it for an emergency and/or we have been unable to contact you by email.
How is your data stored
All of your personal information is stored securely in a secured environment.
We will not share your information with any third party unless there is a legal reason for doing so.
Marketing
We will not send you any further emails following the feedback request, unless you contact us for any information about The Lodge.
We will not sell or pass your details onto any third party.
Guest Registration
We are required by law to collect the following information on all guests over 16. This is usually done at the time of booking, but we are obliged to verify when the guests arrive and make sure that we have all the information we are required to collect by law.
For British, Irish & Commonwealth guests:
- Full name
- Nationality
For all other guests:
- Passport or Identity Document number and place of issue
- Details of next destination (including the address, if known) on or before departure
Each guest’s details are kept for at least 12 months and are available for inspection by a police officer or duly authorised person at all times.
They are kept on a secure server and erased after 12 months of completion of your stay.
Access to your information
You have the right to request a copy of the information we hold about you. If you would like a copy of this information please email us at richard@penlanvilla.com
Right to be Forgotten
All customers have the right to ask us to remove their details from our records, however, this does not override the legal requirements for Guest Registration.
We are also required by law to keep financial records for 7 years, so guests cannot ask to be erased from these financial records.
Cookies
Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity.
You can set your browser not to accept cookies.
CCTV
We have a CCTV system that is used to monitor the outside of our house and The Lodge. It covers the parking area and towards the entrance of the property. The cameras are not able to view interior of The Lodge.
The system is solely for the security of ourselves, property, animals, guests and their property.
It is active 24/7, the recording being stored for maximum of 30 days after which time it is automatically deleted.
